Classification: Full Time, Exempt

Salary Range: $70,000 - $80,000

Job Overview

The Finance Associate will play a critical role in managing Kitchen Table Advisor’s budget and finances. This is a new role for our Finance team. They will report to the Director of Finance, and will be responsible for supporting the director in managing all A/P and A/R, expense management, financial reporting, budgeting, audit, and grants management. The Finance Associate will work collaboratively with other parts of the broader Organizational Resourcing team, including Operations, Development, and People & Culture, in order to support finance-related tasks.

The Finance Associate will embody the organization’s values of equity, empathy, transformational leadership, ecological responsibility, and resilience. They are essential in supporting timely and high-quality completion of Finance projects and tasks.

This is an exciting opportunity for a collaborative, self-driven, enthusiastic, and experienced accounting professional with knowledge and experience in the nonprofit sector.

Responsibilities

The primary responsibilities of this role include but are not limited to:

  • Bookkeeping (50%)
    • Oversee and pay all incoming bills via ACH
    • Expense Management: Manage and reconcile staff credit cards and staff reimbursements
    • Make sure the internal approval process is followed, and ensure proper coding and documentation
    • Submit government grant and fee for service invoices with back up documentation
    • Oversee and log all incoming grants and fee for service payments
    • Reconcile all bank and investment accounts
    • Monitor bank transactions and account balances
    • Assist Director of Finance with monthly, quarterly and annual production of financial statements
  • Budget and Payroll (20%)
    • Assist in development and tracking of bi-annual budgeting process
    • Manage timesheet submission and review billable staff hours to ensure accuracy
    • Collaborate with Director of People & Culture to review PTO accruals for accuracy in staff timesheets
  • Other Finance and Administrative Duties (20%)
    • Track billable hours and expenses for government grants
    • Collaborate with Program Manager to reconcile grant billing with staff hours
    • Train staff on expense management platform, timesheet software, and budget process
    • Assist Director of Finance with annual audit
    • Other duties as assigned by Director of Finance or as arise from organizational needs
  • Organizational Collaboration (10%)
    • Contribute to team meetings, retreats, and shared leadership activities
    • Participate in the recruitment process for new team members, as needed
    • Handle personal administrative tasks like timesheets, expense reports, and scheduling

Ideal Candidate

You are a collaborative, self-driven, enthusiastic, and experienced accounting professional with understanding of the nonprofit sector. You are familiar with nonprofit accounting standards, including fund accounting, GAAP, FASB, and regulations specific to nonprofits. You have a genuine LOVE of numbers and creating spreadsheets and databases. You have a great eye for organizing data. You’re a proactive problem solver who demonstrates creativity and resourcefulness. You possess great interpersonal and communication skills. You welcome both positive and constructive feedback, and you want to grow in this position and with KTA.

Qualifications

  • 3+ years accounting experience, ideally in a nonprofit setting; and/or accounting degree or certification
  • Expertise using accounting software such as QuickBooks Online, expense management platforms, and advanced Excel/Google Sheets functions
  • Ability to prepare accurate financial statements
  • Strong written and verbal communication with demonstrated ability to clearly document processes and systems
  • Exceptional attention to detail and excellent organizational skills
  • Ability to prioritize, plan, organize, and independently manage multiple tasks and deadlines effectively
  • High degree of integrity and sense of accountability
  • Ability to handle sensitive information in a professional and confidential manner
  • Proven ability to act in a transparent and consistent manner while always considering what is best for the organization
